Saving barcodes for your supplier products

Barcodes are managed mostly from the mobile app. When you scan a barcode Yokitup doesn't know yet, it offers to associate it with a supplier product. Once saved, the barcode is recognised the next time it is scanned.

Before you start

To save or delete barcodes, you need the "Supplier products - manage barcodes" permission. Without it, the mobile app won't offer to associate unknown barcodes.

👉 Add this permission to the relevant roles in your role settings.

How it works

  • Barcodes are linked to supplier products, not to products. When you scan a barcode, Yokitup searches your supplier products and finds the product they are linked to.

  • A supplier product can have several barcodes, for example when a supplier changes its packaging or releases a special edition.

  • Barcodes are shared across your whole organization. A barcode saved in one location is recognised in all the others, so adding or deleting a barcode affects the whole organization.

  • Each user can only edit the barcodes of the supplier products they have access to.

Method 1: save barcodes as you go

This is the simplest way. Just use the app as usual:

  1. Scan an item on any screen that has scanning: placing an order, receiving, inventory, loss or transfer.

  2. If the barcode is unknown, the "Unknown barcode" message appears. Tap "Associate".

  3. Search for the matching supplier product, then select it. The "Barcode associated" message confirms the barcode is saved.

This is especially useful when receiving deliveries and during inventories, when you have the items in hand.

💡 On an order, you can only pick from that order's supplier's products.

Method 2: save many barcodes at once

To fill your barcode database quickly, for example by walking through your storeroom:

  1. Open a new inventory or a new loss in the mobile app.

  2. Scan your items one by one and associate each unknown barcode with its supplier product.

  3. Don't enter any quantities, and leave the screen without saving.

Each barcode is saved as soon as you associate it. You can leave the inventory or loss without saving it: nothing will be created, but your barcodes will be kept.

From the web app

On a supplier product's page, you can view, add and delete its barcodes.

Special cases

  • Supplier products bought from your central kitchen or production lab: their barcodes are copied over automatically, so you have nothing to enter. They won't be offered when you associate a barcode.

  • Barcode on a product or a recipe: this is a separate option used to print labels. It is not related to the barcode saving described in this article.
