Set quantities to zero when creating an inventory

Updated over 3 months ago

Important reminder

  • If a product has no quantity entered in an inventory, it is considered not counted → its stock will not be updated and the product will not be valued.

  • When you no longer have stock of a product, enter 0 (zero).

How the “Set quantities to zero” button works

When you are inside an inventory, you can click on Set quantities to zero:

  • All visible products (depending on applied filters or tags) will be set to zero.

  • This prevents forgetting to count some products.

Automatic setting

To avoid mistakes, you can enable the option Set quantities to zero when creating an inventory.
With this option:

  • As soon as an inventory is created, all visible product quantities are initialized to zero.

  • Visible products also depend on the default tags defined at the organization, location, and inventory category level.

  • For consolidated inventories, a sub-inventory is automatically created with all quantities set to zero, also taking into account the default tags.

Where can this option be configured?

You can configure it at the level of:

  • the organization

  • the location

  • the inventory category

  • the storage area

The field is called: Initial quantities when creating an inventory.

Priority rule

The logic is simple:
👉 If the option is enabled anywhere, it applies.

Specifically:

  • If the inventory is linked to a storage area with the option enabled → it applies.

  • If the inventory is linked to an inventory category with the option enabled → it applies.

  • If either the storage area or the inventory category has the option enabled → it applies.

  • If none of them have it enabled → the location setting will apply.
